Manager, Program Delivery

Box of Crayons is looking for an individual to fill the role of Manager, Program Delivery at Box of Crayons, reporting to the Vice President of Operations.

Box of Crayons is growing rapidly. The success of The Coaching Habit (the 2016 book by our Founder, Michael Bungay Stanier), word of mouth, and an engaged community of fans and clients, have collectively resulted in significant growth over the last three years. We design and deliver programs that reframe how people think about coaching (how it can be done, and its ability to transform their work), and by supporting them in changing behaviours so that they shift from being advice-driven to curiosity-led.

About the Role

Box of Crayons is growing. We’ve built some great processes and programs, and now we need someone dedicated to ensure we continue to execute to the level expected by our clients and program leaders.

Your work will fall into four primary buckets:

  1. Coordinating logistics and providing technical support for Digital and Virtual Program client deliveries
    • Liaise with clients to secure session details, provide final logistics information, onboard clients to technology platforms as needed, and ensure all is in order to ensure the elegant execution of digital sessions
    • Support for the faculty of program leaders and moderators around logistics for delivery. This includes but is not limited to: briefing calls with clients, program logistics sheets, moderator briefings, etc
    • Collaborate with Programs Manager and Fulfillment team as necessary to ensure smooth running of digital program delivery
    • Post session management of client evaluations – full review and reporting of pertinent information and sharing of files for metrics reporting
    • Tracking of all logistics details for programs pre and post delivery, and communication of key information with internal departments as required
    • Management of technical back-end of our Digital program system to support client onboarding and technical support with third party vendors for each client experience
    • Back-up support for Programs Manager for managing and scheduling logistics for live and virtual deliveries for vacation and sick-day coverage
  2. Supporting program leader success
    • Manage the onboarding and ongoing training and development of program leaders (PL)
    • Manage the Train the Trainer process, including scheduling PLs, coordinating logistics with the client operations team, and coordinating fulfillment of materials, and onboarding client program leaders.
    • Work in collaboration with our Program Leader Community Manager, who acts as community liaison for the PL group, and at your direction will:
      • Support program leader performance and championing Box of Crayons values and process
      • Provide remedial training for program leaders
      • Reviewing feedback (along with account managers) from program deliveries (both client and program leader debrief of the delivery)
      • Support you in the recruitment of new PLs
      • Work with you to craft and provide content for the PL quarterly newsletter
      • Assist in planning and hosting the annual training event(s) for the Program Leader group

 3. Managing and coordinating the translation of core Box of Crayons programs in various languages for client delivery

    • Creating detailed workback schedules and budgets for the language translation
    • Creating thorough translation copy decks, including reviewing collateral for accuracy
    • Working with third-party vendors to manage translations, as well as graphic designers to create assets in new language
    • Creating new language versions of the program PowerPoint decks, and copy capturing new language collateral

4. Managing the content and directory of all current and archived Box of Crayons programs

    • This includes keeping content up-to-date and accessible to the internal team and external partners (i.e. Program Leaders) on the Box of Crayons servers
    • Updating the Box of Crayons and Program Leader wikis with Program Updates
    • Managing the content and timeline for semi-annual and new development of Program Updates with the Program Development team, to ensure updates are communicated clearly to internal and external parties and accessible

You are:

A team player and strong collaborator; you believe that great work gets done not by one individual but a collective of people who are committed to delivering an exceptional experience for clients at every stage.

  • A lover of ongoing learning, and a good teacher. This role will require that you occasionally lead learning through facilitation or recorded training, and will require that you act as MC/host at the PL events in particular
  • This role sometimes means balancing the desires of our program leaders with the demands and realities of our business, so you will need to possess a level of confidence in dealing with our program leaders: at times, you’ll need to be kind but firm.
  • Strong at building and cultivating internal relationships with the internal team and our Program Leader (contractor) group, and are able to consider various opinions, approaches and objectives to create agreement and shared purpose.
  • Both a generous thinker and a performer; you are able to balance the equally important requirements of strategic thinking while also loving rolling up your sleeves, being down in the details and doing the work.
  • Patient, and understand that working in a start-up environment often means building things in the moment. You are flexible and able to exercise judgment in a changing environment.
  • Highly organized. If someone were to describe your greatest asset, they would say you were the most organized person in the world.
  • Incredibly detail oriented and able to manage multiple priorities at once
  • Tech savvy. You are comfortable with new and different technology, and can usually find solutions to problems your counterparts may not have even thought of yet.
  • Comfortable working remotely in a virtual environment.
  • Ready for your first Manager title.
  • A curious spirit, always asking questions and seeking to understand.

Attribute Experiences

  • Degree or Diploma in business studies/business management
  • 3-5 years’ experience as a project, training, or logistics coordinator
  • Experience in Learning and Development environment preferred
  • Strong Microsoft Office and G-suite skills
  • Multi-lingual preferred
